Play for production teams: the expense report stops being done by hand

Coordinating a shoot is already enough work. Play absorbs the administrative half: expenses, purchase orders, availability and status, inside the project.

LITE plan free forever. Suppliers and crew join without taking a licence.

Who this page is for

This page is for producers and coordinators: the people who make a shoot happen. The craft is about solving things, and the problem is that a good part of the day goes on tasks that are not solving anything: lining up availability, gathering receipts, writing status updates and chasing suppliers. Play has two pieces that work separately or together: Play Platform, which absorbs that administrative half inside the project; and PLAY Talent, with more than 1,200 vetted professionals to fill a gap. You can start free with the platform alone.

What takes up a production team's day

None of this appears on the shooting schedule, and all of it takes half the day.

The expense report gets done from memory

Receipts in a pocket, invoices arriving weeks later and a spreadsheet somebody fills in on Friday. By the time it balances, it is no use for correcting anything.

Expenses and purchase orders charged the same day, with invoices and receipts digitised.

Lining up availability is a chain of messages

Camera, sound, art and location, each through their own channel, and a date that moves every time somebody answers late.

Collaborators, tasks and calendar in one place, with the status visible to everyone.

Everybody asks how it is going

The client, creative and the board ask for updates separately. Answering all three properly costs more than moving the project forward.

The status comes from the work itself: versions uploaded, tasks closed and spend charged.

Supplier agreements are scattered

Quotes accepted by email, releases signed as PDFs and terms agreed on the phone. When there is a disagreement, it all has to be reconstructed.

Agreements, rights and releases centralised on the project record.

How Play works for a production team

Play is a Production-Tech company: software and a production team in the same house. Both halves are useful here: the system and the network.

Way 1

Platform only

You produce with your own crew and your usual suppliers, and use Play to run expenses, availability and status with no separate admin work.

  • Briefs, tasks and a production calendar
  • Media library with AI tagging
  • Videofeedback and approvals by version
  • Unlimited external collaborators

Free on the LITE plan

See Play Platform
Way 2

Production only, as and when you need it

You commission the part that does not fit, or the shoot in a market where you have no crew you trust.

  • End-to-end production with an Account Manager
  • Creative, shooting and post-production
  • Local talent in whichever market it takes
  • A fixed quote per project

Per project, on a transparent rate card

See PLAY /Services
Way 3

Everything together, one partner

The platform is your production system and the talent network is your crew pool when the calendar bites.

  • Everything in way 1 and way 2
  • Platform included at no cost with the services
  • Cost and status traceable in the same place
  • A flat production discount on the Enterprise plan

Platform included, production per project

Talk to the team

The three ways are doors into the same place, and you can move between them without migrating anything. Most teams start at way 1 or way 2 and end up at way 3 once the content volume grows.

What the tool absorbs at each stage

The work that stays yours, and the work that stops being yours.

Stages of a shoot and what changes with Play.
StageWhat stays yoursWhat the tool absorbs
Pre-productionDeciding the crew, the location and the plan.Gathering availability, tasks and dates in a shared view.
ContractingNegotiating terms with each supplier.Storing agreements, releases and purchase orders in the project.
ShootSolving whatever goes wrong on set.Charging expenses and receipts the same day, with no separate spreadsheet.
Material deliveryDeciding what gets kept.Upload to the workspace and automatic tagging of the rushes.
TrackingPrioritising what is urgent.Publishing the status without writing it: it comes from the work itself.

What you get from each part

What someone coordinating shoots actually uses.

Expenses and purchase orders

Charged inside the project the same day, with invoices and receipts digitised and the data extracted automatically.

Collaborators and rights

Supplier onboarding, agreements, releases and terms centralised where the project that uses them is.

A calendar by stage

Pre-production, shoot, edit and delivery with owners and dates, shared with the internal crew and the external ones.

Status without reporting

Progress comes from the versions uploaded, the tasks closed and the spend charged, not from an update somebody writes.

A rushes library

The material lands in the project and stays AI-tagged, with 250 GB on the free plan and 1 TB on PRO.

Stage analytics

How long each stage really took, so the next plan does not come out of a feeling.

Talent calls

You open the need and receive vetted profiles from a network of more than 1,200 professionals, instead of messaging ten contacts.

A local crew in other markets

Production in more than 20 countries with permits and logistics sorted, to shoot where you have nobody.

Extra capacity

Shooting or post-production as an extension of your team when two projects overlap.

A transparent rate card

A fixed quote based on real costs, which is what lets you plan without a defensive buffer.

Brief to publication in four steps

The flow is the same whether you produce or we do. The only thing that changes is who carries out step 3.

  1. You say what you need

You open the project and describe the need. KAMI AI helps turn it into a structured brief, with formats, markets and dates, so that everyone is working from the same thing.

  2. You settle scope, cost and who does it

This is where you pick a way: your team produces it, your agency does, or PLAY /Services does with local talent. If you commission it from us, you get a fixed quote on a transparent rate card before anything starts.

  3. It gets produced and approved inside the platform

Shoot, edit and versions in the same project. Approvals happen through videofeedback and public links, with no email chains. If PLAY produces, your Account Manager oversees every stage.

  4. It is delivered, and it stays

The finished piece and the raw footage stay in your library, tagged and ready to reuse on the next campaign.

What it costs

The platform is paid per workspace, not per person, so bringing the whole crew in does not change the invoice.

If you produce with us, the platform costs you nothing

Access to Play Platform is included at no cost with every PLAY video production service. In other words: you can come in through the platform door and pay only for the software, or come in through the production door and take the software with it.

Annual billing works out at 10 months. Extra storage at 29 €/TB per month. Here PRO is close to obligatory: cost control is exactly what turns the expense report into something that does itself, and it is what LITE leaves out. See the full plan comparison.

Frequently asked questions about Play for production teams

How do set expenses get charged?

Inside the project and on the same day, with invoices and receipts digitised and the data extracted automatically. That way the variance shows while the shoot is still running rather than when the last invoice arrives.

Do suppliers have to pay a licence?

No. External collaborators are unlimited on LITE, PRO and Enterprise, so the whole crew can be inside without the invoice changing. Only internal users are counted.

Where do the agreements and releases end up?

On the project record, next to the material and the spend they generate. Reconstructing what was agreed with a supplier stops meaning searching your inbox.

Do I have to update the status by hand?

No. The status is derived from the work itself: versions uploaded, tasks closed and spend charged. That is what makes it possible to stop answering three people every morning.

How do I fill a gap in the crew?

With a talent call to PLAY Talent, a network of more than 1,200 vetted professionals across more than 20 countries. You open the need and profiles arrive, instead of messaging scattered contacts.

Can I compare one shoot with another?

Yes, from the PRO plan: real cost and duration per stage stay inside the project, so the next plan gets made with data from the last one.

How do I start?

Open a free LITE workspace and take one whole shoot through, with its suppliers and its expenses inside. One project is enough to show how much admin time comes back.
