Role / IT

Play for IT teams: where the files are and who gets into them

Marketing wants to produce fast and you have to answer for the data. This is what sits underneath: location, encryption, permissions, logging and deletion.

Files on EU servers. SSO and SAML on the Enterprise plan.

Updated: September 2026

Who this page is for

This page is for whoever has to approve, integrate or audit the tool the company produces video with. Play Platform hosts files on EU servers, encrypted in transit with TLS 1.2 or higher and at rest with AES-256, with role-based permissions, expiring review links and an activity log. It complies with the GDPR and a DPA is signed with every client, with regular backups. SSO and SAML are available on the Enterprise plan. Integrations, the API and MCP support are in development.

What worries IT when marketing produces video

The risk is usually not in the tool that gets approved, but in the ones used when none has been.

Sensitive material travels through consumer services

With no approved tool, the team uses public transfers and personal storage accounts. Links with no expiry, no record of who downloaded, and outside any policy.

Expiring review links, role-based permissions and an activity log.

External suppliers end up with permanent access

Every freelancer gets a shared folder nobody revokes when the project ends. Months later they still have access to material that is no longer theirs to see.

External collaborators with per-project permissions, revocable without touching the rest.

Nobody knows where the files are

One master on an editor's laptop, another in a personal cloud and the rushes on a production company's drive. Answering a deletion request becomes impossible.

One library on EU servers, with the material findable.

One more tool to integrate and pay for per seat

Every joiner and leaver is work, and every extra licence shows. If suppliers have to be added too, the cost and the admin grow together.

Priced per workspace, with unlimited external collaborators and no licence per supplier.

How Play fits the stack

Play is a Production-Tech company: software and a production team in the same house. For IT the first half is what matters, and it is worth being clear about what exists and what does not yet.

Way 1

Platform only

One approved tool where the material lives, instead of a split between public transfers and personal clouds.

  • Briefs, tasks and a production calendar
  • Media library with AI tagging
  • Videofeedback and approvals by version
  • Unlimited external collaborators

Free on the LITE plan

See Play Platform
Way 2

Production only, as and when you need it

When PLAY /Services produces, the material stays in the same workspace and under the same access rules.

  • End-to-end production with an Account Manager
  • Creative, shooting and post-production
  • Local talent in whichever market it takes
  • A fixed quote per project

Per project, on a transparent rate card

See PLAY /Services
Way 3

Everything together, one partner

The supplier works inside your environment, so there is no second copy of the files somewhere you do not control.

  • Everything in way 1 and way 2
  • Platform included at no cost with the services
  • Cost and status traceable in the same place
  • A flat production discount on the Enterprise plan

Platform included, production per project

Talk to the team

The three ways are doors into the same place, and you can move between them without migrating anything. Most teams start at way 1 or way 2 and end up at way 3 once the content volume grows.

What sits underneath, point by point

What usually gets asked in a security review, answered without hedging.

What you get from each part

What IT cares about in this tool, and what the team behind it does.

Permissions by role and by project

Who views, comments on and downloads what. A supplier's access is revoked when the project closes without touching anyone else's.

Expiring review links

The client or the external reviewer comments without an account, and the link stops working when it should rather than living forever.

Activity log

A history of versions, comments and access inside the project itself, available when somebody asks what happened.

SSO and SAML

Available on the Enterprise plan, alongside an SLA and migration included.

Hosted in the EU

Files on EU servers, encrypted in transit and at rest, with regular backups and a signed DPA.

No licence per supplier

External collaborators are unlimited on every plan, so giving controlled access does not compete with the budget.

The material does not leave the environment

When our team produces, the work happens inside your workspace and under your access rules.

One supplier, fewer onboardings

Consolidating production cuts the number of third parties with access to corporate material.

A single Account Manager

One identified contact per project, rather than a shifting list of freelancers with access.

Assisted migration

Optional on PRO and included on Enterprise, to consolidate scattered material into one controlled place.

Brief to publication in four steps

The flow is the same whether you produce or we do. The only thing that changes is who carries out step 3.

  1. You say what you need

You open the project and describe the need. KAMI AI helps turn it into a structured brief, with formats, markets and dates, so that everyone is working from the same thing.

  2. You settle scope, cost and who does it

This is where you pick a way: your team produces it, your agency does, or PLAY /Services does with local talent. If you commission it from us, you get a fixed quote on a transparent rate card before anything starts.

  3. It gets produced and approved inside the platform

Shoot, edit and versions in the same project. Approvals happen through videofeedback and public links, with no email chains. If PLAY produces, your Account Manager oversees every stage.

  4. It is delivered, and it stays

The finished piece and the raw footage stay in your library, tagged and ready to reuse on the next campaign.

If you produce with us, the platform costs you nothing

Access to Play Platform is included at no cost with every PLAY video production service. In other words: you can come in through the platform door and pay only for the software, or come in through the production door and take the software with it.

Annual billing works out at 10 months. Extra storage at 29 €/TB per month. If your policy requires SSO or SAML, the plan is Enterprise: it is the only one that includes them, alongside an SLA and migration. On LITE and PRO the authentication is the platform's own. See the full plan comparison.

Frequently asked questions about security in Play

Are my files secure?

Yes. Your files are hosted on EU servers, encrypted in transit (TLS 1.2+) and at rest (AES-256). Only the people you authorise get in: role-based permissions, expiring review links and an activity log. We comply with the GDPR and sign a DPA with every client. Regular backups.

Does it integrate with my tools?

Files can be imported and exported without friction. Native integrations, the API and MCP support are in development, so today Play does not connect natively to the rest of the stack. If your workflow depends on a particular tool, tell us and we will say where it stands.

Is there SSO and SAML?

Yes, on the Enterprise plan, alongside an SLA and migration included. On LITE and PRO the authentication is the platform's own.

How is a supplier's access revoked?

External collaborators have per-project permissions, so closing their access to one production does not touch the rest. And review links carry an expiry rather than staying active indefinitely.

Do external collaborators consume licences?

No. They are unlimited on LITE, PRO and Enterprise. Only internal users are counted: 3 on LITE, 5 on PRO and custom on Enterprise. Giving controlled access does not compete with the budget.

What happens to the material if we stop using Play?

The material is in your workspace library and can be exported. It is precisely the opposite of the usual scenario, with masters spread between personal clouds and suppliers' drives.

Can I try it before approving it?

Yes. Sign-up is open and asks for no card, and the LITE plan is free, so a controlled trial on a real project is possible before going through the approval process.
