Role / Project management

Video project management: the real status, without asking for it by email

A board only knows what somebody typed into it. In Play the status comes out of the work: the version uploaded, the client's comment and the spend charged.

LITE plan free forever. Suppliers and clients join without taking a licence.

Who this page is for

This page is for whoever coordinates video productions and answers for schedule and budget. The role's problem is not a shortage of tools: it is that the real work happens outside them, and keeping the board current becomes a job of its own. Play has two pieces that work separately or together: Play Platform, where the status comes out of the production itself because the versions, the approvals and the spend live inside the project; and PLAY /Services, the team that delivers when capacity is short. You can start free with the platform alone.

What holds back whoever coordinates production

It is not the planning. It is that keeping the plan current costs almost as much as executing it.

Updating the board is a job of its own

The edit progresses in another tool, the client comments in an email and the freelancer replies by message. Reflecting all of that on the board is done by one person, by hand, and always late.

The status is derived from the work itself: versions, comments and spend inside the project.

The schedule breaks in the approval stage

The plan covers the shoot and the edit, but not the three review rounds with contradictory standards. That is exactly where the unplanned weeks go.

Approvals on the piece itself, by version, with no parallel email rounds.

Cost slippage appears at the end

The shoot's expenses arrive in invoices weeks later. By the time it is clear the project has gone over budget, there is nothing left to correct.

Committed spend and purchase orders charged the same day, not when the invoice lands.

Heavy files live outside the project

The task tracker holds a link, and the link expires or points at somebody's folder. When an old version has to be recovered, it is not where it should be.

250 GB on the free plan and 1 TB on PRO, with the material inside the project itself.

How Play works for project management

Play is a Production-Tech company: software and a production team in the same house. What changes here is that the tool knows the craft, so the process does not have to be built by hand.

Way 1

Platform only

You coordinate your team and your suppliers inside Play, with the status, the dependencies and the cost on the same record.

  • Briefs, tasks and a production calendar
  • Media library with AI tagging
  • Videofeedback and approvals by version
  • Unlimited external collaborators

Free on the LITE plan

See Play Platform
Way 2

Production only, as and when you need it

You commission delivery of a specific part when the team cannot stretch, on a fixed quote and an agreed deadline.

  • End-to-end production with an Account Manager
  • Creative, shooting and post-production
  • Local talent in whichever market it takes
  • A fixed quote per project

Per project, on a transparent rate card

See PLAY /Services
Way 3

Everything together, one partner

The platform is your coordination system and our team produces inside it, with the same traceability.

  • Everything in way 1 and way 2
  • Platform included at no cost with the services
  • Cost and status traceable in the same place
  • A flat production discount on the Enterprise plan

Platform included, production per project

Talk to the team

The three ways are doors into the same place, and you can move between them without migrating anything. Most teams start at way 1 or way 2 and end up at way 3 once the content volume grows.

What Play solves in coordinating a production

Stage by stage, where the manual updating stops being needed.

Stages of a production and what keeps each one current in Play.
StageWhat gets out of hand todayWhat holds it in Play
BriefingA half-finished brief each supplier interprets their own way.A structured brief with KAMI AI: formats, markets and dates settled.
PlanningThe calendar in one tool and crew availability in another.A production calendar by stage, with owners and delivery queues.
ShootExpenses that turn up weeks later, in separate invoices.Committed spend and purchase orders charged the same day.
Post-productionVersions spread between links and the editor's folders. Each cut is a version inside the project, with its history.
ApprovalThree email rounds with standards that contradict each other.Videofeedback on the piece, with author, version and timestamp.
CloseCost slippage is discovered when the last invoice arrives.Real cost and stage durations, comparable with the next project.

What you get from each part

This is what someone answering for schedule and budget actually uses.

Calendar and delivery queues

Stages, owners and dates in a view shared with the internal team and the external ones, without anyone having to report separately.

Versions as the unit of work

Each cut is a version of the piece, not an attachment on a task. The piece's status is a fact, not a checkbox.

Spend charged the same day

Budget, committed spend and purchase orders inside the project, with invoices and receipts digitised.

Stage analytics

How long each stage really takes and where the work jams. The next plan stops being based on a feeling.

Unlimited external collaborators

Suppliers, freelancers and the client join without taking a licence, so nobody is left outside the system on cost grounds.

KAMI AI

It turns the initial request into a structured brief, which is where half the schedule slippage starts.

Capacity when the plan does not add up

Production, shooting or post-production as an extension of the team, with the deadline and the budget settled before starting.

Production in other markets

Local talent in more than 20 countries, with permits and logistics handled by a single Account Manager.

A transparent rate card

A fixed quote based on real costs, which is what lets you plan without a defensive buffer.

A single Account Manager

One point of contact for the whole project, instead of coordinating three suppliers who do not talk to each other.

Brief to publication in four steps

The flow is the same whether you produce or we do. The only thing that changes is who carries out step 3.

  1. You say what you need

You open the project and describe the need. KAMI AI helps turn it into a structured brief, with formats, markets and dates, so that everyone is working from the same thing.

  2. You settle scope, cost and who does it

This is where you pick a way: your team produces it, your agency does, or PLAY /Services does with local talent. If you commission it from us, you get a fixed quote on a transparent rate card before anything starts.

  3. It gets produced and approved inside the platform

Shoot, edit and versions in the same project. Approvals happen through videofeedback and public links, with no email chains. If PLAY produces, your Account Manager oversees every stage.

  4. It is delivered, and it stays

The finished piece and the raw footage stay in your library, tagged and ready to reuse on the next campaign.

What it costs

The platform is paid per workspace, not per person, so bringing all your suppliers in does not change the invoice. Production is quoted per project.

If you produce with us, the platform costs you nothing

Access to Play Platform is included at no cost with every PLAY video production service. In other words: you can come in through the platform door and pay only for the software, or come in through the production door and take the software with it.

Annual billing works out at 10 months. Extra storage at 29 €/TB per month. For this role, PRO is the plan that brings what is needed: cost control and stage analytics are exactly what turn tracking into something measured, rather than a board somebody maintains by hand. See the full plan comparison.

Frequently asked questions about video project management

Does Play replace my project tracker?

For video production, yes: briefs, tasks, calendar and delivery queues come as standard, with video versions, heavy media and cost control on top, which a general-purpose tracker does not have. For the rest of the company's work it does not try to replace a horizontal tool.

How do I know the real status without asking?

Because the status comes out of the work itself: the version uploaded, the client's comment and the spend charged are all inside the project. Nobody has to update a checkbox for the board to tell the truth.

Can I see cost slippage during the project?

Yes, from the PRO plan. Committed spend and purchase orders are charged when they happen, not when the invoice arrives, so the slippage shows while it can still be corrected.

Do external suppliers cost a licence?

No. External collaborators are unlimited on LITE, PRO and Enterprise. Only internal users are counted: 3 on LITE, 5 on PRO and custom on Enterprise.

Does Play have dependencies and Gantt charts?

Play organises production by stage, owner and delivery queue, which is how a shoot actually works. It does not have a horizontal tracker's dependency builder, and if that is central for you it is worth knowing up front.

How do I improve the estimate for the next project?

Through Analytics: the real duration of each stage and where the work jammed. The next plan gets made with that data rather than with how the last project felt.

How do I start?

Open a free LITE workspace and take one whole project through, brief to delivery, with your suppliers inside it. One project is enough to show where the coordination time was going.
