Event filming: the aftermovie is the tip, the cutdowns are the value

An event is filmed once and yields material for months. The usual outcome is delivering the recap and losing the rest. Play keeps it all classified from the same day.

LITE plan free forever, with a 250 GB library.

Updated: September 2026

Who this page is for

This page explains how event coverage gets made and why the return depends on what happens afterwards. The filming cannot be repeated, the aftermovie is asked for in a hurry, and the rest of the material — which is most of it — usually goes unused. Play has two pieces that work separately or together: Play Platform, where the material lands the same day, tagged and searchable; and PLAY /Services, with local crews in more than 20 countries. You can start free with the platform alone.

What gets lost in covering an event

It is not lost for want of material. It is lost because nobody looks at it again.

The aftermovie is delivered and the rest gets filed

You pay for two days of filming and use three per cent of it. The full talks, the attendee interviews and the b-roll stay on a drive nobody opens.

All the material tagged with AI and searchable, not only the recap piece.

The rush rules and the quality pays

The recap is wanted for the next day, so it gets cut from whatever turns up first. The good material appears a week later, when nobody is going to publish it.

Upload to the workspace from the event itself, so selection starts without waiting for delivery.

Image releases get handled on the fly

Attendees and speakers are filmed with no clear record of who authorised what. Publishing a particular face months later means relying on memory.

Agreements and releases stored on the project record, next to the material.

Every event starts from zero

A different supplier per city, another brief, another editing standard. The Madrid one and the Berlin one look nothing alike even though they are the same format.

Local talent in more than 20 countries under one brief and one Account Manager.

How an event gets covered with Play

Play is a Production-Tech company: software and a production team in the same house. For events the biggest change is that the material enters the system the same day.

Way 1

Platform only

Your team or your usual supplier films, and everything lands in the workspace the same day, tagged and ready for cutdowns.

  • Briefs, tasks and a production calendar
  • Media library with AI tagging
  • Videofeedback and approvals by version
  • Unlimited external collaborators

Free on the LITE plan

See Play Platform
Way 2

Production only, as and when you need it

You commission the coverage with a local crew, the aftermovie and the cutdowns, on a fixed quote before the event.

  • End-to-end production with an Account Manager
  • Creative, shooting and post-production
  • Local talent in whichever market it takes
  • A fixed quote per project

Per project, on a transparent rate card

See PLAY /Services
Way 3

Everything together, one partner

The platform is your event archive and our team covers wherever they are held, to the same standard.

  • Everything in way 1 and way 2
  • Platform included at no cost with the services
  • Cost and status traceable in the same place
  • A flat production discount on the Enterprise plan

Platform included, production per project

Talk to the team

The three ways are doors into the same place, and you can move between them without migrating anything. Most teams start at way 1 or way 2 and end up at way 3 once the content volume grows.

What comes out of filming an event

More pieces than usually get commissioned, and nearly all from the same material.

What you get from each part

What makes an event pay off beyond the recap.

Material inside from the same day

What is filmed uploads into the project during the event, so selection starts before the day is over.

Automatic AI tagging

Speakers, moments and b-roll stay searchable, which is what makes cutting down months later possible without reviewing hours of footage.

Releases in the project

The authorisations from attendees and speakers live next to the material they refer to.

Delivery queues

Which piece goes out first and when, shared with whoever runs social and with the supplier.

Review links

Sponsors and speakers review their own part through an expiring link, with no access to the rest of the material.

Cost per event

Budget and spend inside the project, comparable across editions and across cities.

A local crew wherever it is held

Talent in more than 20 countries, so covering another city does not mean finding a supplier or paying for travel.

Fast recap delivery

The aftermovie cut to the short deadline the format demands, without sacrificing the rest of the cutdowns.

Planned cutdowns

The social clips are planned before the event, not improvised from whatever happened to be filmed.

One standard in every city

The same brief and the same Account Manager, so the Madrid event and the Berlin one look alike.

Brief to publication in four steps

The flow is the same whether you produce or we do. The only thing that changes is who carries out step 3.

  1. You say what you need

You open the project and describe the need. KAMI AI helps turn it into a structured brief, with formats, markets and dates, so that everyone is working from the same thing.

  2. You settle scope, cost and who does it

This is where you pick a way: your team produces it, your agency does, or PLAY /Services does with local talent. If you commission it from us, you get a fixed quote on a transparent rate card before anything starts.

  3. It gets produced and approved inside the platform

Shoot, edit and versions in the same project. Approvals happen through videofeedback and public links, with no email chains. If PLAY produces, your Account Manager oversees every stage.

  4. It is delivered, and it stays

The finished piece and the raw footage stay in your library, tagged and ready to reuse on the next campaign.

If you produce with us, the platform costs you nothing

Access to Play Platform is included at no cost with every PLAY video production service. In other words: you can come in through the platform door and pay only for the software, or come in through the production door and take the software with it.

Annual billing works out at 10 months. Extra storage at 29 €/TB per month. With events, storage decides it: two days of filming fill a good part of LITE's 250 GB, so as soon as there is more than one event a year PRO's terabyte stops being optional. See the full plan comparison.

Frequently asked questions about event filming

How long does the aftermovie take?

Between 24 and 72 hours depending on the scope and the number of cameras. The short deadline is part of the format, which is why the material should enter the system during the event rather than at the end.

What else comes out of an event besides the recap?

Full talks, vertical clips for social, attendee testimonials, sponsor video and a b-roll archive for future pieces. That is where most of the return sits, and where most material gets lost.

Can you cover events in other cities?

Yes. PLAY /Services activates local crews in more than 20 countries, with the same brief and the same Account Manager, so coverage in one city and another look alike.

How are image releases handled?

The agreements and releases from attendees and speakers are stored on the project record, next to the material. Publishing a particular contribution months later stops depending on remembering who signed what.

Can I reuse last year's material?

If it is in your library, yes. It stays AI-tagged and searchable, so the promo piece for the next edition can be cut from the previous one without reviewing hours of rushes.

How much space does filming an event take?

Quite a lot: two days with several cameras fill a good part of the free plan's 250 GB. With more than one event a year the PRO plan's terabyte is worth having, with additional storage at 29 € per TB per month.

How do I start?

Open a free LITE workspace and upload the material from the last event. Seeing what was filmed and never used usually decides the brief for the next one.
